Reaching out to a therapist often means sharing something personal before you've met anyone. This policy explains what mcclerrengroup.com collects, why, where it goes, and how long we keep it.
It covers this website only. If you become a client, our Notice of Privacy Practices explains how we protect your health information under federal law (HIPAA).

The short version What you send through our forms Website analytics Google search ads Spam protection Email from us Hosting, security, and the accessibility menu Cookies Maps and links to other sites Email, phone, and emergencies Your choices Children and teens Changes ContactEach form goes only to the people who need it.
Requesting a free intro call (our Contact page and our Christian counseling page). We collect what you enter: who the request is for, your name, email, and phone, whether we may leave a voicemail, any therapist preference, the times you could come, your message, how you heard about us, whether you'd like our monthly letter, and, on the Contact page, who referred you and any reference code. The form also records a few things you don't type: which ad or email campaign brought you to the site, if one did; whether you sent it from the Christian counseling page; and, if you came from a Clinical Intern's bio, which intern. We use it to reply, match you with a clinician, and set up your intro call. It goes to our intake team by email and into our client management system (Zoho CRM), and a copy is kept in our website system. The confirmation email we send you repeats none of your answers.
Joining a group, or a group's interest list. We collect your name, email, and phone; who the group is for (and how you know them, if it's someone else); whether you'd prefer in person or virtual, when a group offers both; how you heard about the group; and an optional note. The form also records the group's name and which ad or email campaign brought you, if one did. We use it to call you about joining, or, for an interest list, to email you when enrollment opens. It goes to our team by email and into Zoho CRM, and interest lists go into our email system (Zoho Campaigns).
Applying to train or work with us (Careers & training). We collect the role, your name, email, and phone, your program or license, when you could start, how you heard about us, and what draws you to our team. It goes to Eric McClerren, our CEO, at careers@mcclerrengroup.com, with a copy kept in our website system, and never into our client systems. The form doesn't take files; the confirmation email asks you to reply with your résumé.
Inviting us to speak (Workshops & speaking). We collect the details of your event, your organization, your name and email, and, if you choose, your phone and how you heard about us. It goes to Eric McClerren at speaking@mcclerrengroup.com, with a copy kept in our website system, and never into our client systems. Your confirmation email includes a copy of your inquiry.
There's no need to include health details on any form. A sentence or two is plenty. We'd rather hear the rest on the call.
How long we keep it. We keep what you send, so we can pick up where we left off if you reach out again. You can ask us to delete it at any time. If you become a client, our Notice of Privacy Practices applies to your health information.
Who handles it for us. Your form passes through a few services that work for us: our website host (Elementor), our email provider (Google Workspace), Site Mailer by Elementor, which sends our website's emails, Zapier, which carries requests into Zoho, and Zoho. Our website system also records the IP address and browser of the device that sent each form.
We use Plausible Analytics to see how the site is used: which pages people visit, which sites and campaigns send them here, what kind of device and browser they use, which country they're in, how often each form is sent, and how often people click links to other sites. Plausible uses no cookies, doesn't follow you to other sites, and doesn't store your IP address. It reports totals only, so we can't see what any one person did. It runs through our own web address, and its data is stored in the European Union.
We run ads on Google search. If you click one, Google knows you clicked, and Google's own privacy policy covers that. The ad link carries labels that tell us which campaign and search keyword brought you here, and Plausible counts them only as totals. Google also adds a click code to the link; we don't use it or store it with anything you send us.
If you then send our request form, it records which ad campaign brought you (for example, "Google search ad, general counseling"), so we can tell which ads help people find us. It never records what you searched for. Your browser holds the campaign label only in that tab, and it's gone when you close the tab. No cookie is used.
We don't put Google advertising tags, remarketing pixels, or conversion tracking on this site.
If you call us by tapping the phone number in one of our ads, Google may connect the call through a forwarding number and record your area code, the time of the call, and how long it lasted.
Some of our forms, including the request form, use Google reCAPTCHA to keep out automated spam. It works in the background on the pages with those forms. It sends Google technical information, such as your device, your browser, and how you move through the page, so Google can tell a person from a bot, and it may set a cookie. Google's Privacy Policy and Terms of Service apply. If you'd rather skip the form, you can call us at 703-677-8243 or email hello@mcclerrengroup.com.
On our request form, you can choose to receive our monthly letter. We send it, and news about groups you've asked to hear about, through Zoho Campaigns. It records whether an email is opened and which links are clicked, so we can tell what's useful. Every email has an unsubscribe link, and you can also ask us to take you off any list.
Like every website, ours receives basic technical information when you visit, such as your IP address, your browser type, and the page you asked for. Our host (Elementor) and our security and delivery network (Cloudflare) use it to deliver the site, keep it fast, and protect it from attacks, and they keep it for a limited time under their own policies.
The accessibility menu on every page (Ally, by Elementor) loads from Elementor's servers.
We don't use cookies for analytics or advertising. The cookies this site sets are for security. Cloudflare sets short-lived cookies (such as __cf_bm, _cfuvid, and cf_clearance) to tell real visitors from bots and attacks, and reCAPTCHA may set one on pages with a protected form. Our staff use login cookies to manage the site. None of these is used to track you or to show you ads.
The map on our Contact page is a picture stored on our own site, so looking at it sends nothing to Google. Some links lead to other sites, like Google Maps for directions, and McClerren.co, where our CEO's executive coaching lives. Those sites have their own privacy policies. Links to McClerren.co carry a label that tells it you came from our site.
Regular email and text messages aren't fully secure, so please don't send detailed health information that way. We won't ask you to.
This website and our inboxes aren't monitored for emergencies. If you're in crisis, call or text 988, or go to the nearest emergency room.
You can ask what we hold from any form you've sent, ask us to correct it, or ask us to delete it. Email privacy@mcclerrengroup.com, and we'll respond within 30 days.
Parents and guardians reach out on behalf of children and teens. We ask that anyone under 18 not send our forms themselves; a parent or guardian sends the request and joins the intro call.
If we change this policy, we'll update the date at the top. If a change is significant, we'll say so on this page.
Questions about this policy or your information go to our Privacy Officer, Eric McClerren.
